Privacy Policy
This policy explains how NANA OS handles personal data as the provider of the software platform. It is maintained by NANA OS and is separate from the privacy policy each agency publishes to its own candidates and clients.
Who we are
NANA OS provides software that nanny agencies use to run their business. Where an agency uses NANA OS to manage candidate and client information, the agency is the data controller for that information and NANA OS acts as a data processor on their instructions.
What we collect
For agency users we collect account details such as name, email address, telephone number and agency details. For candidate and client records, the information collected is defined by the agency through their registration and record settings. We also collect technical logs needed to operate the service securely.
Why we process it
To provide and secure the platform, to support agency users, to meet legal obligations and to maintain audit records of sensitive actions. We do not sell personal data and we do not use candidate or client data for advertising.
Candidate consent
Candidates give explicit consent during registration to the agency they are registering with. Consent version, method and timestamp are recorded and retained so agencies can evidence lawful processing.
Storage and security
Data is stored on managed cloud infrastructure with encryption in transit and at rest. Documents are held in private storage and are only accessible through short-lived signed links. Access is restricted to the agency the record belongs to.
Retention and deletion
Agencies control retention of their own records and may archive or delete them. When an agency closes its workspace, its data is deleted after a short recovery window. Audit records may be retained where required for legal or security purposes.
Your rights
Individuals may request access, correction, deletion, restriction or portability of their personal data. Candidates and clients should contact the agency they registered with; agency users can contact us directly.
